Barton College is seeking to recruit a Communication Systems Specialist to work within the Admissions department. This is an entry-level position responsible for an accurate and effective Client Relationship Management (CRM) database by creating and maintaining views, imports, exports, reports, communication flows, workflows, and data integrity. The role is to ensure that data from Slate is regularly and appropriately entered into Jenzabar. This person will work with Slate as updates and upgrades to the CRM become available, liaise with the IT department during implementation, and train admissions, financial aid, and other college staff on new solutions.
ESSENTIAL JOB FUNCTIONS:
- Assist the Director of Communication Systems in the implementation and development of the Slate CRM
- Act as first-line CRM Slate support for admissions staff and other enrollment stakeholders
- Coordinate and maintain all Admissions business process documentation. Perform annual updates and create ad hoc process documentation.
- Implement updates and upgrades to the Slate CRM system &train end users regarding functionality changes
- Assist and perform daily processing of internet submissions, CFNC applications, parchment documentation, the Enroll account, and clearinghouse documentation.
- Work with Slate support to report and resolve issues and questions
- Encourage development partners across the campus
- Build and maintain daily data mapping for import/export processes, including Common Application, ACT, SAT, Encoura, and NRCCUA, etc. Performs database and import table maintenance.
- Work with any of the vendors to assist with the data that needs to be imported.
- Create and maintain views, reports, and workflows
- Build various communication plans using campaigns, workflows, marketing lists, and Exact Target
- Analyze admissions data from current and previous years to generate reports, including disseminating weekly reports. An understanding of fundamental statistical principles is desired.
- Run reports and views for vendor partners and other enrollment stakeholders
- Work with current vendors to retrieve and report data.
- Assist with work on Orientation with campaigns throughout the year.
- Assist in yearly data cleanup, retrieval, and export for NCHEDS and IPEDS for the institution.
- Update data tables to bridge information from Slate to Jenzabar.
- Perform data integrity checks to ensure system processes function properly, including email sends and workflows. Correct and troubleshoot issues caught during these processes.
- Perform annual updates within the system that impact the application entity, events, territory assignments, and available terms.
- Create and maintain forms within the system
- Assist personnel in the processing of applications, decisions, and supplemental items during peak times, and work with them on problem-solving solutions as needed.
- Participate in meetings, committees, and task forces as representative for the Client Relationship Management presence.
JOB REQUIREMENTS/CRITICAL SKILLS & EXPERTISE: The minimum job requirements and critical skills and expertise for this position are:
- Bachelor’s degree is required, with degree and/or coursework in computer science, mathematics, statistics, or other related disciplines preferred.
- Demonstrated ability to break down complex and evolving strategies into individual components, processes, and action steps to achieve goals.
- Strong investigative skills, with high attention to detail.
- Ability to map data flows and make/recommend changes that improve the operation.
- Experience evaluating, manipulating, and reporting data in Excel is required.
- Ability to manage multiple tasks and projects in a fast-paced, high-pressure, high-stakes environment.
- A strong commitment to collaboration and a proven ability to effectively communicate in written and verbal form are required.
WORK ENVIRONMENT: This job operates primarily in a professional office environment and routinely uses standard office equipment such as computers, zoom phones, photocopiers, and printers. Participation in admissions events in the evenings and on weekends is possible in this position.
